Frequently Asked Questions
Questions are part of the relationship.
Clear guidance starts with being able to ask what is on your mind. Here is what practice owners can expect when working with Flax CPA.
Working with Flax
A few helpful answers before we talk.
Our monthly subscription is designed to create an ongoing partnership—not a relationship where every question starts a new bill.
Does Flax CPA reduce my taxes?
Proactive tax reduction is an important part of our work. We review your business and personal tax picture, create a customized planning blueprint, and help implement strategies that make sense for your circumstances.
Our goal is to identify practical tax savings that can help offset the cost of your monthly subscription. Because every owner and practice is different, we cannot promise a specific amount of savings.
How quickly does Flax CPA respond?
We work toward a response time of one to three business days for all messages. Unlimited Zoom and phone support is included in your monthly subscription, and requested calls are generally available within zero to three weeks of the requested date, depending on scheduling and the nature of the conversation.
If something is time-sensitive, let us know when you reach out.
Will I be charged separately for contacting you or setting up a phone call?
No. Routine questions, Zoom meetings, and phone calls are included in your monthly subscription. We want to create a relationship where you feel comfortable reaching out before making an important financial decision.
If you ever request work outside the agreed scope of your plan, we will discuss it with you before any additional fee is charged.
Who will I work with?
You will have a dedicated Tax Manager who serves as your primary point of contact and helps make sure your experience is coordinated from start to finish.
Your broader team includes a business growth specialist and a payroll specialist. Your Tax Manager will bring them into conversations whenever their perspective is helpful. A supporting tax team also contributes to estimates, tax returns, and other tax work throughout the year.
Do you just do tax preparation?
No. Tax preparation is one part of a much broader relationship. We bring together bookkeeping, financial reporting, payroll administration, proactive tax planning, tax returns, and business guidance so you can understand the full financial picture of your practice.
We see ourselves as holistic business advisors. Preparing a return without helping you use the numbers to make better decisions is not the Flax CPA approach.
What makes Flax CPA different?
Flax CPA was built to replace a periodic, deadline-driven accounting experience with an ongoing relationship grounded in responsiveness, clarity, and useful guidance. See the full Flax CPA and traditional CPA comparison.
Which states do you work in, and what if I have clients or clinicians in multiple states?
We work in all 50 states and may be able to support certain international situations, depending on the circumstances.
Having clients or clinicians in states outside your home state may create additional filing or tax-payment requirements. As part of our standard monthly subscriptions, we automatically review your state income tax nexus twice each year and help you understand what may be required.
What does payroll administration include, and who runs payroll?
Working with Gusto, Flax helps with payroll-tax IDs, system setup, employee and contractor setup, direct deposit, federal and state payroll-tax calculations and filings, state new-hire reports, pay-stub access, and year-end Forms W-2, W-3, and applicable Forms 1099.
For hourly or variable-pay employees and contractors, you enter hours and pay details every two weeks. You review and run each payroll in Gusto, while we support the administrative and compliance system around it.
